Insurance claim log and follow‑up letter

A practical record-keeping and follow-up tool for small businesses making an insurance claim after a disruption. It helps you organize evidence and ask for clear updates; it does not replace your policy, local rules or legal advice.

Dear [claims contact / claims team],

The incident has affected my business in these practical ways: [brief description of damage, interruption, urgent costs or other impact]. I have taken these steps to prevent further loss, where safe and appropriate: [steps and dates].

Since my last contact, I have provided: [list documents and dates]. I have also attached [list attachments]. Please confirm that these items have been received and added to the claim file. If anything is missing, please identify each item, explain what format is required, and tell me how to submit it securely.

Please provide a written update on:

  1. the current status of the claim and the next action required;
  2. any inspection, information or decision still outstanding, and who is responsible for it;
  3. the expected date of the next update and, if possible, the expected date of a decision; and
  4. if any part of the claim is declined, delayed or reduced, the reasons and the relevant policy wording or process I should review.

If an interim payment or other temporary support is available under my policy or your process while the claim is being assessed, please explain how I can request it and what information you need. I understand that eligibility depends on the policy and applicable rules.

Please respond by [date you are requesting]. This is the date I am asking for an update; I am not assuming it is a statutory or policy deadline. If you cannot respond by then, please tell me why and give me a date for the next update.
